At ExosysNetworks Services Pvt. Ltd. (“ExosysNetworks”, “we”, “our”, or “us”), we aim to provide reliable and transparent delivery of IT products, hardware, networking equipment and other technology products to our customers across India.
This Shipping & Delivery Policy explains our general practices regarding order processing, shipping, delivery timelines, freight charges, transit damage and related matters.
This Policy should be read together with our Terms & Conditions, Privacy Policy, Cancellation & Refund Policy, applicable quotation, Purchase Order (“PO”), invoice and other agreed commercial documents.
1. Shipping Coverage
ExosysNetworks provides product delivery services across India, subject to logistics availability and serviceability.
We may deliver to:
- Metro cities
- Tier-1 cities
- Tier-2 cities
- Tier-3 cities
- Industrial locations
- Corporate offices
- Branch offices
- Educational institutions
- Data centres
- Warehouses
- Project sites
- Other serviceable locations
Delivery to remote or restricted locations may require additional time and/or shipping charges.
2. Products Covered
This Shipping Policy may apply to technology products supplied by ExosysNetworks, including:
- Laptops
- Desktop computers
- All-in-One PCs
- Workstations
- Thin clients
- Monitors
- Servers
- Storage systems
- NAS devices
- Networking switches
- Routers
- Wireless access points
- Firewalls
- Network security appliances
- CCTV cameras
- NVR/DVR systems
- Network racks and cabinets
- UPS systems
- Printers and scanners
- Passive networking materials
- Cables and accessories
- IT peripherals
- Enterprise hardware
- Other IT and technology products
Software licenses, cloud subscriptions and other digitally delivered products may not require physical shipping.
3. Order Processing
Orders are normally processed after successful commercial confirmation.
Depending on the transaction, order confirmation may require:
- Valid Purchase Order
- Advance payment
- Written order confirmation
- Signed quotation
- Approved credit terms
- Required billing information
- Correct GST details
- Confirmed delivery address
Processing timelines may vary depending on product availability and order requirements.
4. Product Availability
All orders are subject to product availability.
Products may be sourced through our network of:
- OEMs
- Authorized distributors
- Regional distributors
- Stockists
- Authorized suppliers
- Technology partners
- Warehousing and logistics partners
Stock availability may change between quotation and final order confirmation.
If a product is unavailable, we may communicate alternative models, revised delivery timelines or other available options to the customer.
Any material product substitution will be subject to customer approval.
5. Estimated Delivery Timeline
Delivery timelines vary depending on the product, quantity, location, stock availability and logistics requirements.
Typical delivery categories may include:
Ready Stock: Approximately 2–7 business days.
Regional/Distributor Stock: Approximately 3–10 business days.
OEM Back-to-Back Orders: As per OEM-confirmed lead time.
Large/Bulk Orders: As communicated in the applicable quotation or order confirmation.
Imported/Specialized Products: Subject to OEM, import, customs and supply-chain timelines.
These timelines are indicative only unless a delivery commitment is specifically confirmed in writing.
6. Same-Day / Next-Day Delivery
Same-day or next-business-day delivery may be available for selected products and locations where stock and logistics arrangements permit.
Such delivery is not guaranteed unless specifically confirmed by ExosysNetworks in writing.
Additional express-delivery charges may apply.
7. Shipping Charges
Shipping or freight charges may vary depending on:
- Delivery location
- Product weight
- Product dimensions
- Order quantity
- Insurance requirements
- Shipping method
- Delivery urgency
- Special handling requirements
- Remote-area delivery
Where shipping is included in the quoted price, this will normally be stated in the quotation.
Where shipping is not included, freight charges may be charged separately.
8. Free Shipping
Free shipping, where offered, will be subject to the specific terms of the quotation, promotion or order.
Free shipping should not be assumed unless expressly confirmed.
Certain locations, oversized equipment, racks, servers, UPS systems, bulk orders or special-delivery requirements may be excluded from free shipping.
9. Shipping Partners
Depending on the nature and location of the order, ExosysNetworks may use:
- National courier companies
- Surface transport providers
- Air cargo
- Local delivery partners
- Distributor logistics networks
- OEM logistics networks
- Dedicated commercial vehicles
- Specialized transport providers
The shipping method will generally be selected according to product type, location, urgency, safety and commercial feasibility.
10. Direct OEM / Distributor Delivery
Certain products may be shipped directly from an OEM, authorized distributor or authorized supply partner to the customer's delivery location.
This may be done to:
- Reduce delivery time
- Improve supply-chain efficiency
- Ensure genuine product sourcing
- Optimize logistics
- Support project-based deliveries
The corresponding invoice and commercial arrangement will remain governed by the agreed transaction structure.
11. Delivery Address
Customers are responsible for providing a complete and accurate delivery address.
The address should include, where applicable:
- Company/recipient name
- Contact person
- Mobile number
- Building/premises name
- Street/address
- City
- District
- State
- PIN code
- GST delivery details
- Special delivery instructions
ExosysNetworks will not be responsible for delays caused by incorrect or incomplete delivery information supplied by the customer.
12. Change of Delivery Address
Any request to change the delivery address should be submitted before dispatch.
Once a shipment has been dispatched, an address change may not be possible.
If rerouting is possible, additional logistics charges may apply.
13. Delivery Attempts
Customers should ensure that an authorized person is available to receive the shipment.
If delivery cannot be completed due to:
- Recipient unavailability
- Closed premises
- Incorrect address
- Access restrictions
- Refusal to accept shipment
the logistics provider may attempt redelivery or return the shipment.
Additional delivery or return charges may apply.
14. Proof of Delivery
Delivery may be confirmed through:
- Signed delivery challan
- Courier Proof of Delivery (POD)
- Electronic POD
- OTP confirmation
- Recipient signature
- Customer acknowledgment
- Logistics tracking confirmation
Customers should retain relevant delivery documentation for future reference.
15. Delivery Inspection
Customers are strongly encouraged to inspect shipments at the time of delivery wherever possible.
Please check:
- Outer packaging condition
- Number of packages
- Product model
- Quantity
- Visible physical damage
- Broken seals
- Signs of mishandling
If visible damage is identified, the customer should mention it on the delivery document wherever possible.
16. Transit Damage
If a product appears to have been damaged during transit, please inform ExosysNetworks as soon as reasonably possible.
Customers may be requested to provide:
- Photographs of the package
- Photographs of the damaged product
- Shipping label photographs
- Invoice details
- Serial number
- Delivery challan
- Unboxing video, where available
- Courier damage acknowledgment
Customers should retain the original packaging until the claim has been reviewed.
Transit-damage claims will be processed subject to applicable courier, distributor, OEM and insurance conditions.
17. Incorrect Product or Quantity
If you receive:
- An incorrect model
- Incorrect quantity
- Wrong product
- Missing product
please notify ExosysNetworks promptly after delivery.
After verification, we will coordinate an appropriate resolution according to the order and applicable commercial terms.
18. DOA Products
A product that is suspected to be Dead on Arrival (“DOA”) will be handled according to the applicable OEM or distributor DOA policy.
DOA approval may require:
- Product testing
- Serial-number verification
- OEM authorization
- Distributor verification
- Original packaging
- All supplied accessories
ExosysNetworks may assist with coordination, but final DOA approval may depend on the relevant OEM/ distributor.
19. Open-Box Delivery
Open-box delivery is not automatically available for every order.
Where supported by the logistics provider or specifically agreed, the customer may inspect the product during delivery.
For standard sealed OEM products, opening the package before formal acceptance may not always be permitted by the courier or logistics provider.
20. Bulk & Enterprise Orders
Large enterprise orders may be delivered:
- In a single shipment
- In multiple lots
- Site-wise
- Branch-wise
- Region-wise
- Project-phase-wise
The delivery schedule will be mutually agreed according to stock availability, project requirements and site readiness.
21. Multi-Location / PAN-India Delivery
ExosysNetworks may coordinate deliveries to multiple customer locations across India.
For enterprise rollout projects, customers should provide a location-wise delivery schedule containing:
- Site name
- Complete address
- Site contact person
- Contact number
- Product quantity
- Required delivery date
- Installation requirement
- Site restrictions, if any
Additional project logistics or coordination charges may apply where agreed.
22. Delivery With Installation
For orders that include installation, deployment or configuration, product delivery and technical installation may occur separately.
Delivery of a product does not automatically mean installation will occur on the same day.
Installation will be scheduled according to:
- Engineer availability
- Site readiness
- Project plan
- Customer availability
- Technical requirements
- SOW/SLA
23. Site Readiness
For products requiring installation, customers should ensure that the site is reasonably ready before engineer deployment.
Depending on the product, this may include:
- Electrical power
- UPS
- Network connectivity
- Rack availability
- Cabling
- Internet connectivity
- Cooling
- Access permission
- Required credentials
- Appropriate physical space
Installation delays caused by site-readiness issues may affect project timelines.
24. Software & Digital Delivery
Software licenses, cloud subscriptions and digital products may be delivered electronically through:
- Customer portal
- OEM portal
- License key
- Subscription activation
- Account assignment
Digital products may have different cancellation and return conditions from physical products.
25. Tracking Information
Where shipment tracking is available, ExosysNetworks or the applicable logistics provider may share:
- Tracking/AWB number
- Courier name
- Dispatch information
- Estimated delivery information
Tracking updates are generally provided by the logistics provider and may occasionally experience delays.
26. Delayed Delivery
Delivery may be delayed due to circumstances including:
- Product shortage
- OEM delay
- Distributor delay
- Import delay
- Customs clearance
- Logistics disruption
- Weather conditions
- Natural disasters
- Strikes
- Government restrictions
- Regional disruption
- Customer-side access issues
- Force majeure
Where we become aware of a significant delay, we will make reasonable efforts to communicate updated information to the customer.
27. Failed or Refused Delivery
If a customer refuses a shipment without an agreed valid reason, the customer may be responsible for applicable:
- Forward freight
- Return freight
- Handling charges
- Restocking charges
- Other reasonable costs
This is subject to the applicable quotation, order and legal requirements.
28. Transfer of Risk
Risk relating to delivery and acceptance will be governed by the applicable quotation, PO, invoice or written contract.
For high-value enterprise transactions, specific insurance, title-transfer and risk-transfer terms may be separately agreed.
29. Order Cancellation After Dispatch
Once an order has been dispatched, cancellation may not be possible.
If cancellation is accepted after dispatch, applicable:
- Shipping charges
- Return freight
- Restocking charges
- OEM/distributor cancellation charges
may be deducted or charged, subject to the applicable order terms.
Customized, activated, licensed or specially procured products may be non-cancellable.
30. International Shipping
Unless specifically agreed in writing, our standard shipping services are primarily intended for deliveries within India.
International orders, exports or cross-border shipments may require separate commercial, taxation, customs, documentation and logistics arrangements.
31. Force Majeure
ExosysNetworks will not be responsible for shipping delays caused by events reasonably beyond our control, including natural disasters, war, civil disturbances, pandemics, government restrictions, transportation disruption, supply-chain failures, OEM shortages, import restrictions or similar events.

IMPORTANT NOTICE
Delivery timelines shown on the website or communicated before order confirmation are indicative unless specifically committed in writing.
For enterprise, bulk, project-based, back-to-back and specialized IT hardware orders, the delivery timeline stated in the final accepted quotation, Purchase Order acknowledgement or contract will take precedence over the general timelines stated in this Shipping & Delivery Policy.
